Collect passports without a folder full of liability.

Every traveler gets one private link. They fill in their legal name, passport, date of birth, emergency contact, dietary needs and a signed consent on their phone in three minutes. Their details stay private, and the whole record is deleted automatically after the trip. No scans in your inbox. No spreadsheet of who replied.

The status quo

Right now this lives in your inbox.

For a 20-person group, collecting traveler details the old way is hours of chasing — and a pile of sensitive documents you have to look after until someone remembers to delete them.

Today

The chase

  • Passport photos arriving over email and chat apps
  • Sensitive scans sitting in your inbox and drive for years
  • A spreadsheet you tick by hand to track who replied
  • Reminders you have to remember to send, one by one
  • Nobody ever deletes anything
Instead

With Tourical

  • One private link per traveler, sent the moment they book
  • Every detail kept private — never a loose file
  • A live tracker that updates itself as forms come in
  • Reminders go out on their own, well before departure
  • The whole record deletes itself after the trip
Same information collected. None of the inbox, the spreadsheet, or the liability.
The single link

One link. No login. No app to install.

The link belongs to one traveler on one trip. It works on any phone, expires on its own after about a month, and walks each person through the same calm six-step form.

  1. 01

    Booking sends the link

The moment a deposit is paid, Tourical creates a private link for each traveler and emails it out. Nothing for you to send.

  2. 02

Traveler opens it on their phone

No account, no password. The link itself knows exactly which traveler and which trip it belongs to.

  3. 03

    They fill six guided steps

Identity, passport, emergency contact, dietary and medical, insurance, and a consent signature. Saved as they go.

  4. 04

    Details stay private

The moment they submit, every detail is kept private — only your team can ever open it.

  5. 05

    Status updates itself

Your tracker moves the traveler from pending to partial to complete. You never tick a box.

Lost the link or changed phones? Resend it from the trip view — the old link stops working, no duplicates.
Completion tracker

See exactly who is done — without asking.

Every trip has a live intake board. Each traveler sits in one of three states, and Tourical nudges the stragglers so you don't have to.

  • Three honest states

Pending, partial, complete. No guessing whether a half-finished form counts.

  • Nudges without nagging

Reminders go out on schedule. You can also resend any link by hand in one click.

  • Opened only when needed

Open a traveler's record only when you genuinely need it — and every open is recorded.

How we keep it safe

Built like the data is borrowed, not owned.

Passport numbers and medical notes are some of the most sensitive details a traveler can share. Tourical treats every one that way — kept private, seen only by your team, opened only when needed, and recorded every time.

Privacy

Every detail kept private

Name, passport, contact, medical, consent — every field is kept private, not just one part of the record.

Your team only

Seen only by your team

A traveler's details can only be opened by your team. No other operator can ever reach them.

Access

Opened only when needed

Records stay sealed by default. A traveler's details only appear when someone on your team deliberately opens them.

Recorded

Every open is on the record

Who opened what, and when, is written down — so access is always something you can answer for.

Built to be deleted

Data with an expiry date baked in.

The safest record is the one that no longer exists. Every intake record is given a deletion date the moment it is created — and Tourical honours it without anyone having to remember.

One traveler · one record · one lifecycle
  1. Booked

    Trip booked

Deposit paid. The intake record is created with its deletion date already set.

  2. Day 1

    Link sent

A private link reaches the traveler's inbox automatically.

  3. Day 2

    Traveler fills it

Six steps, kept private the moment they submit. Status flips to complete.

  4. Departure

    Trip departs

You open the details you need — passports, allergies, contacts — for the trip itself.

  5. Trip ends

    Trip ends

The countdown begins. A window stays open in case you need to re-export for accounting.

  6. After the trip

    Deleted for good

Tourical deletes the record for good. No inbox cleanup, no leftovers.

You can re-export anything you legitimately need to keep before the window closes. After that, it is gone — by design.
Custom questions

Your trip asks what your trip needs.

The standard fields cover passport, health and consent. On top of those, add the questions this particular trip actually needs — they're collected, kept private and deleted exactly like every built-in field.

Good to know: custom questions are set up on the trip template today — there is no drag-and-drop builder yet. The traveler form shows them automatically once they are set.

Straight answers

What operators actually ask.

The questions that come up on every evaluation call.

01Do travelers need an account or app?

Neither. The link itself knows which traveler and which trip it belongs to. They tap it, fill the form on their phone, and they are done — no password, no download.

02How are passport numbers and scans kept safe?

Every detail a traveler enters is kept private and can only be opened inside Tourical, by your team. The details never sit around as loose files, and they are deleted automatically after the trip.

03What if a traveler never finishes the form?

Their status stays at pending or partial, and they get friendly reminders a month and a week before departure. You can also resend their link by hand from the trip view at any time.

04When exactly is the data deleted?

Tourical deletes each record automatically after the trip — the deletion date is set when the record is created. You can re-export anything you legitimately need to keep, for accounting, before that window closes.

05Can I add my own questions to the form?

Yes. Custom per-trip questions sit alongside the standard fields, and are kept private and deleted in exactly the same way. They are set up on the trip template today; there is no visual builder yet.

06Who can see a traveler's details, and is access tracked?

Records stay sealed until someone on your team deliberately opens one. Every open is written down — who, what and when — so access is always something you can answer for.

07What language does the traveler form use?

The traveler form is in English today, with dates and numbers formatted to suit your region. Translating the form into more languages is on the roadmap.
