Software for group tour operators with set departures.

Set departures, a self-running headcount, waitlists and field check-ins.

Why group operators switch

The work, before and on Tourical.

Today

The departures-spreadsheet doom loop

  • Headcounts in a spreadsheet someone sorted wrong last Tuesday
  • The cancel-by date is a calendar reminder you sometimes miss
  • The waitlist lives in an email thread, held seats lapse unseen
  • Allergies in three places — the form, a column, the guide's memory
  • The guide app is a document emailed the night before and printed
On Tourical

Departures that run themselves

  • A live departures board — paid, held and waitlisted at a glance
  • Miss the minimum by the deadline and the system cancels and refunds
  • A free seat passes to the next person with a hold link and a clock
  • Allergies from the traveler form land on the guide's phone, by name
  • The guide app keeps the list, and check-ins flow back to the trip live
Departures board

The headcount runs itself.

Every set departure on one board: paid travellers against the smallest-group line, the waitlist rolls into the next free seat, and the cancel-by date handles refunds without you watching a spreadsheet.

The long story

Why operators like you switch.

Group tour operators live by the departures board. A minimum headcount to hit, waitlists, room-share matching, allergy tracking, guide rotations — the running of it is a full-time job, and most of it still lives in a shared spreadsheet that breaks the moment someone sorts the wrong column.

Tourical replaces the spreadsheet with a real departures board. Each set departure has its own page with paid travelers, held seats, a waitlist and an assigned guide. Hit the deadline below the minimum and Tourical can cancel and refund on its own. Miss it, and the waitlist steps in.

On departure day your guide arrives with the traveler list, allergies, room-share and travel documents on their phone, and activity check-ins flow straight back into the trip as they happen.

Questions, mostly answered

FAQ for group tour operators.

How does the self-cancelling departure work?

Each departure has a smallest group size and a cancel-by date. If you haven't reached the minimum by that date, Tourical can cancel the departure, refund the deposits and email every paid traveler with the reason.

Can guides use the guide app without a signal?

Yes. The guide app keeps the traveler list, allergies and contacts on the phone after the first open, and catches up the check-ins once the device finds a signal again.

How is room-share matched?

Travelers can opt into room-share when they fill in their details, with the single-room choice shown plainly. Tourical flags anyone still unmatched so your office can settle rooming before the deadline.
